Summary of Position

The Associate, Real Estate Transactions, supports Forterra’s work in land conservation and equitable urban development by handling a variety of duties related to the management of real estate transactions.  This may include coordinating with land owners, conducting due diligence activities, ordering appraisals and title reviews, managing department files, monitoring budgets and transaction deadlines, and coordinating closings. This position may also be involved in providing general administrative support to the Real Estate Transactions department related to its real estate project pipeline.

The Associate should exhibit excellent attention to detail, organizational skills, and resourcefulness. In addition to working closely with all members of the transactions team, the Real Estate Transactions Associate works closely with Forterra’s General Counsel and members of our finance team.

Specific Duties

Real Estate Transactions Support (approximately 70% of work hours)

  • Provide full spectrum of project management support for real estate transactions, from research and due diligence on project opportunities, through closing and documentation of transactions.
  • Using templates, draft real estate documents, business documents, and legal documents correspondence related to property acquisitions.
  • Order, track, and review title reports, appraisals, property surveys, and environmental assessments. Review for accuracy, completeness, and consistency.
  • Maintain tracking records in Excel and/or database software for project monitoring.

Manage transaction closings, including preparing escrow instructions and closing documents.

  • Coordinate with finance team on invoicing under grants and contract agreements.
  • Assist with research on a variety of potential projects.

Administrative Support (approximately 30% of work hours)

  • Process Accounts Payable and Accounts Receivable paperwork.
  • Coordinate team meetings and prepare project materials as needed.
  • Maintain paper and electronic department files, including auditing for completeness and archiving after project completion.
  • Maintain protected lands spreadsheet and report out on acreage/projects as requested.
  • Track and route documents for Forterra’s internal signature review process.
  • Complete general administrative tasks (copying, filing, preparing mailings, etc.) as needed.

Other duties as assigned.

Required Qualifications

  • Bachelor’s degree and some real estate related experience, preferably in conservation or community development transactions, or equivalent combination of education and experience.
  • Resourcefulness and strong problem-solving skills.
  • Proven organizational, written and verbal communications skills.
  • Demonstrated ability to manage multiple projects concurrently, meet deadlines, and respond to changing priorities.
  • Intermediate-level knowledge of MS Office Suite products, including Outlook.
  • Ability and willingness to work some non-standard hours, when necessary.

Travel, Working Conditions & Physical Requirements

This position is subject to indoor environmental conditions typical to a professional office setting. The essential physical requirements of this position include:

  • Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects.
  • Ability to sit, stand, or otherwise remain in a stationary position at a computer workstation for the majority of the work day.
  • Ability to occasionally move about inside the office to access file cabinets, office equipment, etc.
  • Ability to constantly operate a computer and other office equipment such as calculators, copy machines, and printers.
  • Ability to communicate accurately with co-workers, clients, and various external parties about land transactions, financial and legal information, and the general operations of the organization.
  • Negligible travel, less than 5% of work hours.

Temporary (to year end), 20-35 hours/week, Non-exempt
